Two amazing benefits of OPUL are having a single location to manage your client relationships and having a holistic client view powered by real-time data so you can gain even greater insights into your practice's performance. The first step to unlocking these benefits is uploading your clients to OPUL. You can easily add your clients one-by-one or use our Patient import feature to upload en masse. Follow the tutorial below to get started.
Setting Up Your Template
Step 1: From the Patients home page, click on the three dot ellipses next to the Filter
Step 2: Click Import List
Step 3: Click the click to download our template icon to download the patient import template and save it with today’s date in the following format OPUL Patient Import MMDDYYYY.
Step 4: Download patient data from a database, like practice management software. Ideally, you can download your patient list into Excel. If you need to download the file in a different format, after doing so please copy and paste the data into the patient import template in Excel.
Step 5: Once you have the client data copied into the template with the required values, i.e., First Name, Last Name and Phone, save the file in Excel file format .xlsx.
Step 6: Review your OPUL Patient Import file for the following:
- Double check to make sure the columns are in this order: First Name, Last Name, DOB, Phone, Email, Member Number
- Scroll down your patient list to ensure that the data in each field matches the column heading. For example, make sure that your email address column contains only email addresses.
- Make sure all required values are filled out for each patient.
- Check your formatting for Phone number, the following formats are acceptable: 1234567890, 123-456-7890, 123.456.7890, 123 456 7890, and (123) 456 7890.
*If you don’t use the required formatting, your patient import will not work as desired or at all. If you have questions, reach out to your Customer Success Manager at (925) 678 – 5377 or click the Chat icon in the lower left corner of your screen to connect with OPUL Support.
Importing Your Clients With Patient Import
Step 7: From the Patient Import screen, click Upload Data.
Step 8: Drag and drop your .xlsx file to upload your list.
Step 9: Click Preview your file to view a sample of your clients.
Step 10: If everything looks accurate click Finish Import.
Step 11: Your patients are now being created, which can take a few minutes for smaller patient lists or up to an hour for larger patient lists. Feel free to come back later to check-in on the status of your import.
Step 12: Review the Import History to confirm that the import occurred correctly. Double check the number of new patients added to ensure it is close to the number of patients you planned to import. It is helpful to review the annotated file to see if there were any errors with the import. If everything looks accurate, your Patient Import is complete!
How to Delete a Patient Import with Incorrect Data
If at any time you believe the import created incorrect patient records, you can Undo an import file by clicking on the trash icon on the Import History screen. Confirm the Undo in the pop-up modal and any patients without activity will be deleted.
