There are many ways to evaluate the health of your business. This is a guide to the different types of reports you can generate using OPUL, so you can get the information you need. All of these are available to anyone with OPUL access. They can be found in Insights.
Types Of Reports
You can download a copy of any report (except for Practice Activity) by selecting the gear icon in the top-right corner.
1. Batch Details
The Batch Details report includes a detailed view of all the batched transactions for one specific day.
2. Batch Summary
Batch Summary reports show total batches for each day within a selected date range, including the deposit status of each batch.
Use Filters to select the date range.
Using static batch summary totals, you can compare total deposits across weeks, months, or the life of the practice.
Using a summary by day, you can see total sales, chargebacks, adjustments, and fees, as well as the total batched.
3. Deposit Details
The Deposit Details report includes a detailed view of all the transactions in a deposit for one specific day.
4. Deposit Summary
With Deposit Summary, you can see the total deposits for each day in the selected date range. Deposits may include multiple batches.
Use Filters to select the date range.
Using static deposit summary totals, you can compare total deposits across weeks, months, or the life of the practice.
Using a summary by day, you can see total sales, chargebacks, adjustments, and fees, as well as the total deposit for the day.
5. Patient Summary
The Patient Summary report gives you detailed insights into your patients' spending and purchasing behavior. By identifying trends in patient spending, you can make more informed business decisions.
The Patient Summary report includes the below all-time metrics, as well as additional metrics based on set periods of time. The below metrics offer a comparison of behavior between registered patients and unregistered guests, as well as an indicator of how the metric is trending in the current month vs last month.
- Total registered patients
- Total unregistered guest transactions
- Avg. Sale = Total sales / total transactions
- Avg. Patient Lifetime Value = Avg. Sale * (Total Transactions / Total Patients) * (Total Patient Lifespan in Years / Total Patients)
- Total Sales
Quarterly Patient Retention indicates the percentage of patients that visited your practice each quarter and returned the following quarter.
Average Spend reflects the average total sales each month.
Total Sales this Month compares the total sales for the month by patients and unregistered guests.
Suggestions will appear based on transaction activity to begin helping you make decisions on how to increase patient engagement and spending at your practice.
6. Patient Reports
Patient Reports include detailed information on each patient, engagement metrics, and popular retail products and services.
Popular Retail Products and Services calculates how many unique patients have received each product or service and ranks their popularity.
This report can be used to help you determine what is popular at your practice and create promotions around those products and services. You can also use them to help you determine what items to cross-sell and upsell.
You can also filter and sort your Patient Reports to get a better view of specific information and segment your customers.
View detailed information such as your patient’s total spend, visits, treatment history, or preferred provider information.
Or view engagement metrics like average visits per year, patient tenure, and breakdowns by spend in the retail, services, and treatment categories.
Once you’ve identified a set of customers you’d like to target based on the metrics you’ve selected, you can export that segment into your CRM to build your promotions.
Note: Filter selections for Treatment and Since Last Visit are not cumulative. For example, filtering cannot be used to find all patients who have received RHA in the last 90 days. Instead, the filtering of RHA + 90 days would either find any patient who has ever received RHA OR has had a visit (for any service or product) in the last 90 days.
7. Practice Activity
Practice Activity is a running list of all transactions. Interact with transactions by clicking on or searching for a transaction if you need to void or refund, print a receipt, or re-resend an email receipt to a client.
8. Sales by Brand
Use Sales by Brand to see how various brands are performing. This can help you with promotional planning and understanding ROI.
Use Filters to select the date range.
You can compare sales by brand, gross revenue, and average gross revenue from different time periods.
9. Sales by SKU
Use Sales by SKU to compare performance of various SKUs to help you with promotional planning and understanding ROI.
Use Filters to select the date range.
You can compare sales by unit, gross revenue, and average gross revenue for different time periods.
10. Sales by Staff
The Sales by Staff report displays commissions and tips for different staff members across various timeframes.
Use Filters to select the date range.
Select Sales to compare gross revenue, categorized by staff members, for different time periods. Commission is calculated during checkout per staff member selected as providing the product or service based on the commission percentage set on each staff member's profile under Team Management.
Select Tips to calculate total credit card payments, invoices, and tips, categorized by staff members, for the time selected. Transactions are categorized according to the staff member who was logged into OPUL at the time they were made.
11. Service Detail
The Service Detail report is a detailed view of all the services and products received within a selected date range.
You can see details about products or services received (including client names, item costs, applied discounts, and taxes paid), and compare sales, discounts, and the numbers of clients who received specific products or services within different time periods.
The insights generated through this report will help you pull client lists to create targeted marketing campaigns to the clients receiving specific products and services, and easily assess the return on your marketing investment or take actions to increase client engagement
12. Transaction Detail
The Transaction Detail report shows a detailed view of all transactions within a selected date range.
Use Filters to select the date range.
13. Transaction Summary
Transaction Summary provides a quick overview of the total payments collected for the day, which can help simplify reconciliation.
Use Filters to select the date range.
The top row displays the Grand Total of all payments received during the selected date range, with transactions broken down according to payment method.
The bottom row displays Total by Card Type, which are categorized by card brand (Visa, MasterCard, American Express, and Discover), and the Total by Device of all payments received, which are categorized by the different OPUL devices used to process payments.
