Step 1: Navigate to loyalty and under Instant Rewards, select Go to Rewards. If you’ve already set up a promotion before, click Create new promotion from your Loyalty Dashboard.
Note:This functionality is only accessible to Practice Administrators – if you are not able to create or archive promotions, please consult your Practice Administrator.
Step 2: Enter a name for your promotion in the text box under What shall we call your promotion.
Feel free to get creative when naming your promotion! The best promotion names reflect your practices personality or any campaigns you may be running.
Step 3: Select the start and end date for your promotion under How long will this promotion run.
When setting the duration of your promotion, ensure that you have allowed enough time for clients to participate in your promotion to meet your goals.
The start date can be set for a future date to allow time for you to create marketing campaigns and announce your upcoming promotion to clients. Schedule multiple promotions that align with scheduled events or holidays, making promotion planning seamless.
Choosing and entering an end date is optional. This flexible feature allows you to create both temporary and “evergreen” promotions that do not expire. An “evergreen” option is a great way to create predictability for clients around the types of promotions that you have available.
Step 4: Select the products and services you would like to include in your promotion as earning criteria under Which items qualify for a reward. Enter a minimum number of units or monetary value for each item or category of items that are needed to meet the earning criteria for your promotion.
To include all items in your catalog, click Select Entire Catalog at the bottom of the page. This is a great option if you prefer to set earning criteria based on overall spending in one transaction, rather than on spending for specific products and services.
To exclude individual items from earning criteria, such as surgical deposits, simply deselect those items.
Keep in mind any other promotions that you may have created to avoid creating multiple promotions with the same criteria.
The earning criteria amount should be attainable for your clients and should align with typical client spending at your practice. If you set the amount too low, all clients may qualify – whereas if you set the amount too high, very few clients will qualify.
Step 5: When asked How would you like to reward, select Savings Reward or Treatment.
When a client earns a Savings Reward, the reward is added to the client's wallet to be used at their next visit and can be applied to any transaction. Savings Rewards encourage clients to schedule future appointments so they may use their reward, which may lead to increased client spending.
When a client earns a Treatment Reward, the product or service specified during the creation of your promotion will appear in the client’s wallet to be used at a future appointment.
Treatment rewards encourage clients to schedule future appointments and can be a great opportunity to cross-sell or up-sell different products or promote new products.
Step 6: When asked When do your customers rewards expire, select how long a reward is valid once a client earns it.
When choosing the expiration period of a reward, be mindful of your ability to honor the reward.
If you set the expiration length too short, you may not have the resources or availability to redeem rewards for all clients that earn them (especially for Treatment rewards).
If you set the expiration length too long, the reward may sit on your books as a liability longer than you’d like (especially for Saving Rewards).
Step 7: Select Review Promotion and review all the information you have input and make any necessary edits.
Step 8: Select Launch Promotion.
Note: Once you have launched your promotion, you will not be able to edit it. If you need to go back and make any changes, navigate to the previous screen.
Step 9: After launching your promotion, you will be taken to the Loyalty Dashboard.
